We handle personal health information under Ontario’s Personal Health Information Protection Act, 2004 (PHIPA), and other personal information under Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).

We use your information to:

  • Assess, treat, and follow up on your care

We do not use automated decision-making or profiling to make decisions about your care.

Personal Health Information

Health information you share with us is collected, used, and disclosed to provide your care, in line with PHIPA and the record-keeping standards of the College of Physiotherapists of Ontario and the College of Massage Therapists of Ontario. We share it with others in your circle of care (such as your family doctor) only as PHIPA allows, and with others only with your consent or where the law requires it. You can withdraw or limit your consent at any time, subject to legal and professional requirements.

Text Messages (SMS)

When you provide your mobile number and check a consent box on one of our forms, you agree to receive text messages from Excite Physiotherapy. There are two separate consents, and you can agree to either, both, or neither:

  • Appointment messages: booking confirmations, reminders, rescheduling, and follow-up after your visit
  • Promotional messages: clinic news, events, and appointment availability

Consent to receive text messages is not a condition of booking or receiving care. Message frequency varies. Message and data rates may apply.

Reply STOP to any message to opt out, or reply HELP for help. You can also contact us at info@excitephysio.com or (705) 279-2759. For full program details, see our Terms of Service.

You must be 18 or older to opt in to text messages. For patients under 18, a parent or guardian can opt in using their own mobile number.

Text messaging is not a fully secure channel. We do not send treatment details by text, and we ask that you avoid sending sensitive health information by text message.

Emails

We send appointment and care-related emails as part of providing your care. We send newsletters and promotional emails only with your consent, as required by Canada’s Anti-Spam Legislation (CASL). Every promotional email includes an unsubscribe link, and you can also ask us to remove you at any time.

Cookies and Tracking

Our website uses cookies and similar technologies. Cookies are small files stored in your browser. We use:

  • Essential cookies to make the website and online booking work
  • Analytics cookies, such as Google Analytics, to understand which pages are visited and how people find our site
  • Advertising cookies, such as those from Google and Meta (Facebook and Instagram), to measure how our ads perform and show our ads to people who have visited our site

These cookies collect technical information such as your IP address, browser type, device, and pages visited. We do not use cookies to collect health information, and we do not sell the data they collect. You can block or delete cookies in your browser settings. Some parts of the website, such as online booking, may not work without them.

Embedded Content From Other Websites

Pages on our website may include embedded content such as videos, maps, or our online booking system. Embedded content from other websites behaves the same way as if you had visited that website directly. Those websites may collect data about you, use cookies, and track your interaction with the embedded content, including if you have an account and are logged in to that website.

Who We Share Your Information With

We do not sell, rent, or trade your personal information.

We share information only with service providers who help us run the clinic, such as our online booking and patient records system, our email and text messaging platforms, our website host, and our analytics providers. They may use your information only to provide services to us, and they must protect it. We may also disclose information where the law requires it.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Where Your Information Is Stored

Some of our service providers store data on servers outside Canada, including in the United States. Information stored outside Canada may be subject to the laws of that country.

How We Protect Your Information

We use administrative, technical, and physical safeguards to protect your information, including encrypted website connections, password-protected systems, and access limited to staff who need it. No system for sending or storing data online is risk-free.

If a privacy breach affects your personal health information, we will notify you and report it to the Information and Privacy Commissioner of Ontario where the law requires.

How Long We Keep Your Information

We keep clinical records for as long as required by PHIPA and our regulatory colleges. We keep other personal information only as long as we need it for the purposes described in this policy, or as the law requires, and then securely delete or destroy it.

You have the right to:

  • Ask for access to the personal information we hold about you
  • Ask us to correct information that is inaccurate
  • Withdraw your consent to text messages or emails at any time
